1. Who We Are
Surefile is an AI-powered e-filing service for Illinois courts, operated by Moore LLC dba Surefile, an Illinois limited liability company (“Surefile,” “we,” “us,” or “our”). Our principal contact for privacy inquiries is privacy@stovetop.ai.
2. Information We Collect
We collect information in the following categories:
Account Information. When you create a Surefile account, we collect your name, email address, law firm name (if applicable), and ARDC registration number.
Filing Documents. When you submit a filing, we receive the PDF documents you upload, including motions, exhibits, and supporting materials. These documents may contain sensitive information about your clients and their legal matters.
Payment Information. We use Stripe to process payments by credit/debit card and ACH bank transfer. Surefile does not store your full card number, bank account number, or payment credentials. Stripe’s handling of payment data is governed by Stripe’s Privacy Policy.
Usage Data. We collect standard server logs including IP address, browser type, pages visited, and timestamps to maintain security and improve the service.
AI Processing Data. When you use Surefile’s compliance checking features, portions of your uploaded documents are sent to the Anthropic Claude API for analysis. See Section 5 for details on how this data is handled.
3. How We Use Your Information
We use your information to provide and operate the Surefile service, including: processing and submitting your court filings through the Illinois e-filing system (eFileIL); running AI-powered compliance checks against applicable Illinois court rules; processing your payments; communicating with you about your filings and account; and maintaining the security and integrity of the service. We do not sell your personal information. We do not use your filing documents or their contents for advertising, marketing, or any purpose unrelated to providing the Surefile service.
4. How We Share Your Information
We share your information only in the following circumstances:
E-Filing Submission. Filing documents are transmitted to the Illinois e-filing system (eFileIL), operated by Tyler Technologies, as necessary to complete your court filings.
AI Compliance Analysis. Document content is sent to the Anthropic Claude API for compliance checking. Anthropic’s data handling is described in Section 5.
Payment Processing. Payment information is transmitted to Stripe for transaction processing.
Legal Requirements. We may disclose information if required by law, subpoena, court order, or governmental regulation.
5. AI Processing & Anthropic Claude
Surefile uses the Anthropic Claude API to analyze uploaded documents for compliance with Illinois court rules. This means portions of your filing documents are transmitted to Anthropic’s servers for processing.
Under Anthropic’s commercial API terms, data submitted through the API is not used to train Anthropic’s models. Anthropic may retain API inputs and outputs for a limited period for trust and safety purposes, as described in Anthropic’s Privacy Policy.
We transmit only the document content necessary for compliance analysis. We do not send your account credentials, payment information, or other personal data to Anthropic.
6. Data Security
We implement reasonable security measures to protect your information from unauthorized access, acquisition, destruction, use, modification, or disclosure, consistent with the requirements of the Illinois Personal Information Protection Act (815 ILCS 530). Data is encrypted in transit using TLS. Our database is hosted on Supabase, which provides encryption at rest for stored data. Access to production systems is restricted to authorized personnel. We require data protection provisions in our contracts with third-party service providers that store or process your data.
7. Data Retention
We retain your account information for as long as your account remains active. Filing documents and associated records are retained for a period necessary to fulfill legal and regulatory obligations and to support your filing history. If you request deletion of your account and data, we will process your request within 30 days, subject to any legal retention requirements. To request data deletion, contact privacy@stovetop.ai.
8. Data Breach Notification
In the event of a security breach involving your personal information, we will notify affected individuals in the most expedient time possible and without unreasonable delay, consistent with the Illinois Personal Information Protection Act (815 ILCS 530). If a breach affects more than 500 Illinois residents, we will also notify the Illinois Attorney General’s office within 45 days of discovery.
9. No Biometric Data Collection
Surefile does not collect, store, or process biometric identifiers or biometric information as defined under the Illinois Biometric Information Privacy Act (740 ILCS 14).
10. Children’s Privacy
Surefile is a professional service intended for use by licensed attorneys and authorized legal professionals. We do not knowingly collect personal information from individuals under the age of 18.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes by email at least 45 days before they take effect. The “Last Updated” date at the top of this page reflects the most recent revision.
